Select Your Private School

  1. Open the PI-1207 application.
  2. Select the private school you’re submitting data for from the drop-down tool.

  3. With your school selected, the navigation menu appears.

  4. The color of the underline under each screen name lets you know whether the information on that screen is complete. 
    • A red underline means that you still need to enter information.
    • A yellow underline indicates that there is a warning and you should verify the information on that screen.
    • A green underline indicates that the information is complete.
  5. Proceed to the School Information screen.

School Information

  1. Navigate to the School Information screen. 
  2. Click the radio button to indicate whether the you’re entering data for a school that will be open or closed this school year.

Open Schools

  1. If the school is open, select the first radio button and click Save, then proceed to the next section.
  2. For schools that will be open for the current school year, make your selections for the following data elements:
  3. Click Save.
  4. Continue to the Waivers screen.

Note on Non-Profit Status:

A private school is required to be a non-profit organization to be eligible for equitable participation in some federal programs (e.g. Elementary and Secondary Education Act, etc.). Generally, a non-profit organization is a legal entity whose net earnings cannot lawfully benefit any private shareholder or entity.

Closed Schools

  1. If the school has closed, select the second radio button and click Save. 
  2. Report this closure through DPI's School Modification application.
    • A representative from DPI will reach out to users who report the closing of a private school without completing the School Modification process to ensure the accuracy of our data.

Waivers

  1. Select the radio button to opt in or out of DPI and vendor-generated mailings for each question.
  2.

State Statutes

  1. Confirm that your private school is compliant with the state of Wisconsin’s private school statutes. 
    • You must answer “Yes” to each question in order to meet criteria that allow DPI to recognize your agency as a private school.
    • PI-1207 "Statute Criteria" screen.
  2. Enter an answer (yes or no) for each statute. 
  3. Click Save.
  4. Continue to the Enrollments screen.

Enrollments

  1. Enter the number of parentally-placed students enrolled in your private school in each grade for the current school year

  2. The grades displayed in this section are per the school's demographic data in the DPI School Directory.
    1. If the grades listed on the PI-1207 are not current for your school, you must make these changes within the School Directory Management Portal, within the Basic Information tile. Please follow the guidance provided in the School Directory Management Portal User Guide for Private Schools.
  3. Click Save. 
  4. Navigate to the Graduates screen.

Note the following guidelines for submitting enrollment numbers:

For enrollments of students associated with standard grades, perform the following:

  • Enter enrollment numbers as of the third Friday in September, if possible. If you did not collect this number on that date, and do not know your third Friday in September enrollment numbers, submit the current enrollment numbers for your school.
  • Private school enrollment information must be entered on a school district jurisdiction basis. This means that if your private school has multiple buildings that are located in different districts, enter the enrollment only for the buildings in the school district associated with that private school. Enter enrollment for school buildings located in other districts separately.
  • Do not include in the count any students who have been placed in the private school program by a public school district (ie, placement by an IEP team).
  • Do not include in the count any students who are enrolled in a public school or community-based K4 program hosted by the private school.
  • The highest possible grade is 12.
  • The lowest possible grade is 4-year-old kindergarten (K4).
  • Private schools cannot offer PK. PK is not a grade level, as it is not defined as a grade by state statute 115.02.

Toubleshooting when PI-1207 Is Not Reflecting Accurate High/Low Grades 

When you are completing the PI-1207, if you notice that your school’s grade levels served are incorrect on the Enrollments screen, take a few steps to fix this within the School Directory (SD) application.

NOTE: The person making these changes needs to the person with the assigned SD user role of “Directory Update.”

  1. Save your progress on your PI-1207 report.
  2. Open up a new tab in your browser, log in to WISEhome, and open the School Directory Management Portal.
  3. Edit the grades served (high grade and low grade and grades offered) by your school on the Basic Information Tile within the School Directory Management Portal. The Private School User Guide for School Directory Management Portal may come in handy here.
  4. Save changes in the School Directory Update application.
  5. Return to the PI-1207 after the next database refresh.
  6. Refreshes occur at 6 a.m., 10 a.m., 2 p.m., and 6 p.m.

Notice the corrected changes to grade levels served, and you can then continue completing the PI-1207 form.

Enrollments Not by Grade Value

  1. Click the "Don't have enrollment values by grade?" text if you have enrollment values by total count as opposed to counts by grade.

  2. This redirects you to the enrollments screen, where you can enter ungraded enrollments:

  3. Enter your enrollment numbers.
  4. Click Save.
  5. Navigate to the Graduates screen.

Graduates

  1. If your private school services students in grade 12, enter the number of students who graduated from 12th grade at the end of the previous school year. 
  2. Click Save.
  3. Continue to the Confirm Your Data screen.
  4. If your private school does not have grade 12, this field is disabled and the section considered “complete.”
    • PLEASE NOTE: Do not enter 8th grade students as graduates, even if your school hosts an 8th grade graduation ceremony. The PI-1207 report only required data on 12th-grade high school graduates. Thank you for celebrating your students, and for submitting only required data to DPI.

Confirm Your Data

  1. Check if the application has found any issues with the data you’ve submitted. 
  2. Review any errors or warnings. 
  3. Go to the necessary screen to correct the issue.
    • For example, if there is no enrollment submitted, the Enrollment row will show a red warning sign and indicate that there is no enrollment data.
  4. Repeat this review until every category has a green check mark and says OK.

  5. Click Confirm at the bottom of the screen to finish submitting your data.

Update PI-1207 Data After Submission

Remember that PI-1207 data, like most all data sent to DPI, is collected on a timeline. You can only make changes if the PI-1207 collection is still open. Refer to the timeline at the top of this webpage to review the timeline for the current year.

If you need to make changes to your PI-1207 information after you've already confirmed:

  1. Locate the PI-1207 application's navigation menu.
  2. Click the name of the screen on which you want to correct data (e.g., Enrollments).
  3. Update the data as necessary.
  4. Click Save for each change.
  5. Navigate to the Confirm screen.
  6. Verify that the data looks correct.
  7. Click Confirm to finish your updates.
