WISEdash Extracts for Choice Schools
WISEdash Extracts are exports located in WISEdata Portal. The data in the WISEdash Extracts exports comes from the WISEdash database.
By contrast, all other exports located in WISEdata Portal contain data from the WISEdata Portal.
Each night, DPI uploads the data from WISEdata Portal into the WISEdash database. This means, what is in WISEdash today, was in WISEdata yesterday. Due to this overnight upload, the data that lives in WISEdata and the data the lives in WISEdash can be different.
The WISEdash Extracts exports help Choice schools access graduation rate, dropout rate, and absenteeism information from the WISEdash (snapshot) database.
There are four different WISEdash Extracts exports. Each export can, and should, be used for data quality auditing purposes when preparing for the December snapshot. Detailed instructions in the sections below, show you which columns to review and the values to look for that may need to be corrected within your student information system.
The available WISEdash Extracts include:

Accessing WISEdash Extracts
WISEdata users at Choice schools can access WISEdash Extracts in WISEdata Portal. To do so:
- Log in to WISEhome.
- Click WISEdata Portal.
- Under the Agency menu, click Exports.
- Scroll all the way to the bottom of the screen (below the other WISEdata Portal Exports).
- Select the school year with the data you want to export. There are always three years of data in WISEdash Extracts. When using WISEdash Extracts for data quality auditing for the December Snapshot, you generally need to pull exports from the prior school year. Exceptions include full-term dropout data and prior year report card data.
Absenteeism Extracts Export
NOTE: Make sure to download from the previous school year.
Absenteeism
The following columns are included in the Absenteeism extracts. For more information about calculating chronic absenteeism, refer to the About the Data - Chronic Absenteeism webpage.

| School Year | The school year for which data is submitted to WISEdata. |
| LEA ID | The agency key of the agency submitting the WISEdata record. |
| LEA Name | The name of the agency submitting the WISEdata record. |
| School ID | The ID code for the school submitting the WISEdata record. |
| School Name | The name of the school submitting the WISEdata record. |
| WISEid | The student's unique identification number in WISEid. |
| Last Name | The student's last name. |
| First Name | The student's first name. |
| Choice Student Indicator | A Yes/No indicator showing whether a student participates in the School Choice Program. |
| Actual Days Attended | The sum of the reported days of attendance for the student at the submitting school. |
| Possible Days Attended | The sum of the possible total days of attendance the student could have had at the submitting school. |
| Attendance Rate | The actual days attended divided by possible days attended, shown as a percentage. |
| Absentee State | An indicator of whether a student is considered chronically absent under the Wisconsin state definition, shown as Yes, No, or Not Applicable. Not Applicable indicates a student who does not have sufficient continuous enrollment for absenteeism to be determined. |
How to Use the Absenteeism WISEdash Extracts Export:
- Change the WISEdash Extract School Year filter to the Year-End school year you are reviewing.
Click Download for the "Export Type": for the Absenteeism export.
- Once you have opened the downloaded file, review the Attendance Rate (column J) and Absentee State (column K).
- Students are considered to be chronically absent if they miss more than 10% of school days out of the total number of school days during which they were enrolled. This will be displayed with a “Yes” value in the Absentee State column.
- If you see a student indicated as an absentee student, review how the student’s attendance Actual Days (column H) and Possible Days (column I) are reported. These values are pulled directly from the student’s enrollment profile in WISEdata.
- If your SIS has different attendance values than what is displayed in WISEdata, do a SIS resync to push the updated attendance data to WISEdata.
- Once the attendance data is updated in WISEdata, the WISEdash Extract file will refresh overnight, and the student should no longer display “Yes” for Absentee State.
Dropout Rate

Dropout Rate
The following columns are included in the "Graduation & HS Completion Rate" and "Graduate Future Cohorts" extracts. For more information about calculating dropout rates, refer to the About the Data - Dropouts page.
| Column Name | Description |

| Dropout Rate School Year | The school year for which the student is counted as a dropout. Dropouts are calculated annually. A student may be a dropout in multiple and consecutive school years. |
| Grade Level | The grade level in which the student will be reported as a dropout. For midterm dropouts, this grade level is equivalent to the grade level of the enrollment record that resulted in the dropout. For full term dropouts, this grade level is calculated as follows:

| Midterm Dropout Indicator | Indicates that the student did not complete the school year in which they are identified as a dropout. |
| Full Term Dropout Indicator | Indicates that the student completed the school term and did not re-enroll for the subsequent school year. |
| Term Completion Indicator | Indicates whether the student completed the selected dropout rate school year. |
How to Use the Dropout Rate WISEdash Extracts Export:
- Change the WISEdash Extract School Year filter to the Year-End school year being reviewed.
Click Download for the "Export Type" for the Dropout Rate export.
- This download includes all students grades 7-12, as these are the grade levels that may calculate as a potential dropout.
- Once you have opened the downloaded file, review the Midterm Dropout Indicator (column I) and the Full Term Dropout Indicator (column J) for “Yes” values. Students with a “Yes” value in these columns are the students currently being reported as potential dropouts.
- Midterm dropout is a student that leaves midway through the school year and has until the next school year's Third Friday of September (TFS) to return to educational service. If they do not return, or return after the TFS, they are considered a mid-term dropout. These are students that attended in the previous school year open in WISEdata.
- Full Term dropout is a student who completed the school term and was present on the last day of school. They have the entire next school AND until the following school year’s Third Friday of September (TFS) to return to educational service. If they do not return, or return after the TFS, they are considered a full-term dropout. These are students that attended the most previous school year open in WISEdata.
- If you see a student indicated as a potential dropout, review how the student is reported in WISEdata Portal.
- You may need to follow up with the student or family to the best of your ability to update the exit type information to correct the dropout calculation.
- If your SIS has a different exit type than what is displayed in WISEdata, do a SIS resync to push the updated exit data to WISEdata.
- Once the exit type is updated in WISEdata, the WISEdash Extract file will refresh overnight, and the student should no longer display “Yes” as a potential dropout.
Graduation & HS Completion Rate and Graduate Future Cohorts
The following columns are included in the "Graduation & HS Completion Rate" and "Graduate Future Cohorts" extract export. Graduation & HS Completion Rate and Graduate Future Cohorts
The following columns are included in the Graduation & HS Completion Rate and Graduate Future Cohorts extracts. For more information about calculating graduation rates, refer to the Understanding Wisconsin's High School Graduation Rate Calculations page. | Graduation Cohort | The year the student would have customarily graduated in four years. This value identifies the cohort set to which the student has been assigned based on their first high school enrollment. |
| Years or Less | The number of years or less (4, 5, 6, or 7) in which the student has completed high school. |
| Rate Inclusion Indicator | A Yes/No indicator for whether the student is to be included in the denominator of any rate calculations based on this row. |
| Graduation Indicator | A Yes/No indicator for whether the student has received a regular diploma in any year on or before the selected school year. |
| Graduation Numerator | Shows 1 if the student is included in the numerator. Shows 0 if the student is not included. Sum this column to determine the numerator of the graduation rate. |
| Credential | The kind of completion certificate the student attained after completing high school. Refer to the Credential Type data element page for more information. |
| High School Completion Indicator | A Yes/No indicator for whether the student received any completion credential in any year on or before the selected school year. |
| High School Completion Numerator | Shows 1 if the student is included in the numerator. Shows 0 if the student is not included. Sum this column to determine the numerator of the high school completion rate. |
| Denominator | Shows 1 if the student is included in the denominator. Shows 0 if the student is not included. Sum this column to determine the denominator of the graduation or high school completion rate. |
| First HS Enrollment Grade Level | The student's grade level (9-12) when they first entered high school. |
| First HS Enrollment Year | The school year in which the student first entered high school. |
| First HS Enrollment Date | The date the student first entered high school. |
| First HS Enrollment LEA ID | If a student first entered high school at a public school, this column show the public district's agency key. Otherwise, this column is blank. |
| First HS Enrollment LEA Name | If a student first entered high school at a public school, this column show the name of the public district. Otherwise, this column is blank. |
| First HS Enrollment School ID | The agency key of the school (public or Choice) in which the student first entered high school. |
| First HS Enrollment School Name | The name of the school (public or Choice) in which the student first entered high school. |
| WISEdata Update Availability | Indicates whether this record may be modified via submission to the WISEdata API. This is based on the school years currently available within the API. |
| Graduation Status Opt-Out | The student opts out of sharing their graduation status, regardless of completion/earned diploma, upon request. Y = opts out. N = opts in, |
How to Use: Graduation & High School Completion Rate Extract Export
- Change the WISEdash Extract School Year filter to the Year-End school year being reviewed.
Click Download for the "Export Type": Graduation & HS Completion Rate.
- This download includes all students in 12th grade.
- Once you have opened the downloaded file, review the Graduation Indicator (column H) and Credential (column N).
- For a student with a “Yes” in Graduation Indicator column, this means the student is counting as a completer.
- For a student with a “No” in Graduation Indicator column, this means the student is not counting as a completer.
- For a student to count as a completer, a Credential type is required to be reported. If no Credential is reported, the student will not be counted as a completer.
- If you see a student indicated as a non-completer, review how the student is reported in WISEdata Portal.
- If your SIS has a different exit type/credential reported than what is displayed in WISEdata, do a SIS resync to push the updated data to WISEdata.
- Once the data is updated in WISEdata, the WISEdash Extract file will refresh overnight, and the student should display as a completer in the export.
Graduate Future Cohorts
Use the same definitions listed in the Graduation and High School Completion Rate section.
NOTE: Make sure to download from the previous school year.
How to Use: Graduate Future Cohorts Extract Export
- Change the WISEdash Extract School Year filter to the Year-End school year being reviewed.
Click Download for the "Export Type": for the Graduate Future Cohorts export.
- This download will include all students in grades 9-12.
- Once the downloaded file is opened, review the Graduation Cohort (column A).
- A student’s cohort is calculated based on their first WISE reported enrollment into a high school grade level. Usually, this is when a student is first reported in the 9th grade but could also be a previously non-WISE reported student’s first reported HS grade level.
- If you see a student indicated in the incorrect Graduation Cohort, review how the student was previously reported by reviewing the First HS Enrollment Grade Level (column G) and First HS Enrollment Year (column H). If you see something incorrect in these columns, look at the WISEdata Update Available (column M).
- If “Closed”, the student’s cohort data can no longer be adjusted, and they will be captured in the displayed cohort year during Snapshot. This is due to the fact that the school year needing to be adjusted is no longer open in WISEdata.
- If “Open”, you can still adjust the student’s cohort by going into your SIS and making the appropriate grade level changes to the enrollment record. This may need to be done in a prior school year open for updates in WISEdata.
- If your SIS has a different grade level reported than what is displayed in WISEdata, do a SIS resync to push the updated grade level to WISEdata.
- Once the grade level is updated in WISEdata, the WISEdash Extract file will refresh overnight, and the student should display in the correct cohort in the export.
Historical Note for Economic Status Data
DPI provided guidance for submitting student-level economic status information to WISEdata to address the complexity of gathering this data during the pandemic. Per the guidance, DPI granted flexibility to schools to use the most recent economic status information, which may be based on 2019-20 or 2020-21 data.
